Use of the "Hanno" chatbot

We use the chatbot "Hanno" from Dr Schengber & Friends GmbH, Schorlemerstr. 12-14, D-48143 Münster (DSaF) on our website to improve accessibility and communication with users and interested parties.

We have concluded an order processing contract with DSaF, which provides sufficient guarantees for data processing that complies with data protection regulations and is secure.

The chatbot software used on this site utilises machine learning to better understand and respond to user input. For this purpose, the input is sent to external servers and analysed there. This is the only way to enable the chatbot to function. No personal data is requested or required at any point within the chatbot. Users are therefore not identifiable as long as they do not enter any personal data. The non-personal data entered is used for learning purposes and stored for training purposes. This constitutes a legitimate interest within the meaning of Art. 6 (1) (f) GDPR. Your IP address is collected by the system during use.

Purpose of data processing
The use of chatbots helps us to respond quickly and reliably to user enquiries on our website, thereby increasing user-friendliness and accessibility. Ultimately, its use also serves our advertising and marketing interests, as it enables us to get in touch with people interested in our services more quickly and effectively. The collection of your IP address serves to distinguish you from other visitors and chatters so that several chats are not opened at the same time by the same user. If you enter further data in the chat window, this is voluntary and the purpose is determined by your request.

Legal basis for data processing
Data processing is carried out on the legal basis of Art. 6(1)(f) GDPR. Our legitimate interest in this data processing lies in the aforementioned purposes and in being able to process your enquiry at all.

Duration of storage
The data and content of the chats are stored on the DSaF servers by the system for a maximum of 3 months, in some cases they are also deleted earlier by manual deletion by us.

Otherwise, we store the data collected on the basis of a legitimate interest until the legitimate interest no longer exists, a consideration comes to a different conclusion or you have effectively lodged an objection in accordance with Art. 21 GDPR (see the visually highlighted "Right to object to processing on the basis of legitimate interest" under C.). It is reviewed regularly, at least annually, whether the legitimate interest still exists. In particular, our interest no longer exists if the data is no longer sufficiently relevant to us with regard to the analysis and statistics of website use due to the passage of time, which can be assumed after three years at the latest.

Possibility of objection and removal
You have the right to object, on grounds relating to your particular situation, at any time to processing of personal data concerning you by us. If we cannot demonstrate compelling legitimate grounds for further processing that outweigh your interests, rights and freedoms, we will then no longer process your data (see Art. 21 GDPR). You can contact us by post or email to do this. With the objection, however, our conversation also ends.

All personal data stored in the course of contacting us will be deleted in this case, provided that there are no indications of any contractual warranty or liability claims or we have no claims against you. In all other cases, the data will be blocked so that only our management has access to this data and only for the purpose of the statutory retention reasons or for the purpose of defence or assertion of actual or potential claims until the expiry of the limitation period (see our information on the duration of storage above).
